Warehouse Management – The Last Frontier in Profit Improvement

The last 20 years have seen a great improvement in cost management on the manufacturing floor. Most companies have maximized their inventory turns, implemented process improvement on the floor or outsourced difficult products entirely. That leaves the warehouse as the one area for real gains.

There are three assets we need to maximize in warehouse operations: The value of the inventory, the cost of space and the productivity of the labor to manage it.

Warehouse Management attacks inventory usage in several different ways. The first is accuracy. Good WMS users have pick accuracy in the neighborhood of 99%. Users with poor inventory accuracy will typically use safety stock to compensate for the fact that they cannot trust the on hand balance. In addition, poor picking accuracy generates returns and their cost.

The more often inventory is handled the greater the opportunity for breakage and loss. Use of dynamic bin allocation assures that the most active items are the easiest to pick. By setting activity based stocking levels in the quick pick area, we reduce the traffic in constantly moving inventory or going into bulk stores to break open a new carton. This improvement effects not only inventory value, but labor productivity as well. The ability of a WMS system to stock goods in multiple units of measure reduces handling and improves customer service. If a customer order requests full cases, having the ability to direct the picker to that bin that stores cases vs. pallets or individual sku’s assures a onetime pick and correct order configuration.
For specialized inventory, lot traced, special storage and date coded items all benefit from a WMS system with capabilities to deal with this.

Warehouse space, even if company owned, still generates cost in terms of taxes and utilities. Inefficient space utilization often results in rented warehouse space with the added cost of transfer transportation. The WMS knows the weights and dimensions of the SKU’s stocked as well as the capacity of the location in terms of weight or cube. The first step is for the WMS using directed put away to send the goods to the proper location so we do not duplicate locations. If we know the dimensions/weights, we can redirect the put away task to another preferred location, saving a trip to a bin that was already full. By maintaining an optimized warehouse, picking activity is also increased as trips are more direct and therefore take less time.
That leaves us with the labor. Measuring productivity in the warehouse has always been difficult. There are no routings or labor standards and therefore little to actually measure productivity to. Having a warehouse worker managed via Task Manager provides direct tracking of activities. Users are dispatched tasks electronically based upon their zone and equipment. The system time and date stamps every transaction required to perform the day’s work. In addition we know from the user profile where a particular employee was deployed in the warehouse and can group/measure against similar employees doing similar tasks. This allows for setting performance standards that are representative for a diverse set of tasks. Directed put-away and dynamic bin slotting has planned the most efficient manner of going about those tasks. To maximize efficiency, problems such as broken items, etc., can be dispatched to an ‘inventory person’ to resolve while the picker continues their assigned task.

So what’s the result? In a case study from a recently implemented customer, labor productivity improved by 11%. Order accuracy hit a new high of 99.3% and 93% of purchase order receipts are available in stock the same day as received.

These results were received in a 6 month timeframe thru the implementation of COLLECT® for SYSPRO. The system offers real-time integration to SYSPRO ERP via the Business Objects technology currently offered by SYSPRO. This technology allowed for direct update of the SYSPRO database with a sub 2 second response time. The customer is a current SYSPRO user with a large distribution environment. The set a record for shipments this year end, averaging 2800 order per day. When you combine the shipments, put-away transactions and PO receipts the system probably averaged 20,000+ updates per day.

3 Non-Technical Factors to Consider When Selecting ERP

Would you believe it if I said that the most important factors to consider when selecting ERP software are non-technical? What factors am I then implying should be deliberated? Read on to find out:

Being an avid Internet surfer, information parser and technology evangelist, I was recently thinking about non-technical issues that are top-of-mind in the Mid-Market Enterprise space. As a lover of technology, I get a thrill out of analyzing scenarios after extracting all the technology arguments, but I often also like “getting back to the basics.” To do this, I have the benefit of first-hand hindsight purely by virtue of my age and experience. I have lived through various technology fads since the early 80’s and seen trends come and go. Some stick and some don’t, but they all play their specific sound the greater symphony of the Enterprise Application space. Does anyone remember the concept of Strategic e-Fulfillment? A decade ago it was the flavor of the day, but today it doesn’t exist. Microsoft spent millions promoting .Net, today it survives, but in a morphed form. Service oriented architecture, single-source, extended, social technology, social media enabled and other industry buzzwords jostle for position at the top of the buss word list. The result is that they tend to clutter the reality from your perspective. So, as history has shown, it’s important to consider factors beyond technical trends. In this post, I am going to attempt to exclude technical terms in order to offer a non-technical perspective to selecting an ERP or Enterprise Software solution and vendor.

Let’s get back to basics and remove the technology, buzzwords and hype. Here goes, three simple (non-technical) factors to consider:

1. Culture
2. Consistency
3. Success

1- Culture: Select an ERP or Enterprise Application Vendor that matches your company culture. If you were getting married, you would not marry someone you don’t like or didn’t have anything in common with. Getting an ERP System and up and running is the start of the relationship; the real value comes down the line when you can really start leveraging the system. To do this, you need to work with your Vendor or their partner closely. Having the same culture and value system as your provider goes along way when ensuring things get done right. How many times have you heard the saying, “The right people make it happen?” Yet when selecting vendors how often do we forget to stop, observe and consider how we will get on with our vendors for years to come? Address this proactively instead of suffering the consequences down the line.

2- Consistency: Consistency paves the road of success. Work with companies that have long, positive track records, have been around for many years and have delivered thousands of systems while maintaining a consistent leading role in their respective sector. Stay away from the “fly by night “vendors- companies that are undergoing continuous public company and investor changes and acquisitions. Don’t be bullied around by inconsistent salespeople worried about closing quarters and reaching targets. Look for a vendor that has a proven long term record of consistency across the board.

3- Success: Success is the ultimate goal. Look for success not in the words of the vendor, but in the happy testimony of their customers. Are customers talking about the success they’ve experienced with the vendor and the software? Are the successful customers in the same industry as you or in similar or allied industries? Don’t be scared to ask a vendor for customer references or success stories. If they are there, they will be forthcoming. Success is not about the vendor’s success but about their respective customer’s success and the potential for you to succeed. Focus on the benefit the product will deliver to you. If existing customers are receiving benefit, there is a good chance you will too.

My first boss once said, “If it’s complicated, it’s wrong.” Well, I believe he was right; the multitude of buzzwords, technical jargon and self-fulfilling marketing terminology does tend to cloud reality. I am a complete tech junkie, gadget freak and technology convert and I do believe that the right technology is the difference between normal profit and super profit. However, I also encourage you to get back to the basics and consider the non-technical aspects when choosing which ERP or Enterprise Application Vendor to partner with.

P.J. Jakovljevic Reveals How SYSPRO “Sheds Obscurity to Become ‘Simply Smarter’ Vendor”

Authored by P.J. Jakovljevic, Technology Evaluation Centers (TEC) analyst, the article focuses on how SYSPRO, “known for their genius by customers,” has now become known to the “wider prospective buyer pool [and] the software influencer at large.”

“SYSPRO has gradually emerged in recent years from its marketing obscurity,” notes Jakovljevic. “Web site searches actually produce volumes of influencer/analyst/PR reports, articles, blog posts, and webinars, as well as accompanying industry ERP rankings among the world’s top 10–15 SMB ERP Providers,” states Jakovljevic in his article entitled, “SYSPRO’s Winter ’12 Tour—Einstein Getting a Jolt from Espresso.”

“The U.S. SYSPRO management team turned up the marketing positioning dial,” says Jakovljevic, describing the SYSPRO “Simply Smarter” and Einstein messaging frameworks that have “housed more than five rounds of announcements.” He continues: “SYSPRO is a vendor . . . that develops its own nifty gadgets and functionality, but it often waits for Microsoft’s products to get mature . . . and then it comes up with some great tools on top of it, often outdoing Microsoft.”

He continues: “SYSPRO’s buyers are frugal SMB manufacturers with limited means,” writes Jakovljevic, noting, “Some of SYSPRO’s top executives are basically software coders who tinker non-stop, are on Microsoft’s pioneer council, and are always getting new ‘toys’ early. They then personally play with new peek-preview technologies within their sandbox product line, and then pull out the real goodies that best serve their ultra-conservative buyer set by saving and/or making them money.”

Jakovljevic goes on to state that he is “really impressed” by the fact that “SYSPRO has always had really powerful user tools for product tailoring to individual user needs.” He explains that SYSPRO 7 (currently in preview) expands on this capability by taking the powerful UI, born out of the Power Tailoring and SYSPRO Process Modeling into these two fronts: large-scale customization and a rapid adoption framework.

Jakovljevic sums up his retrospective on SYSPRO: “SYSPRO’s offering is a high-class good for its target market, sold at a reasonable price point (thus delivering better value than most of its competitive offerings . . . hence the company wins innumerable awards each year). It’s a small wonder that the vendor has been holding its own in a lousy economic environment in manufacturing and distribution…SYSPRO’s marketing savvy of late is additionally helping its cause with prospective customers. Again, not many ERP market influencers and observers have heard of the vendor until a few years ago, when the company finally got its marketing act together.

Mick Whitlock Tells Why SYSPRO ERP Solution Best for Food Manufacturers

SYSPRO, the leading global supplier of on-premise, cloud and mobile business ERP Software for manufacturers and distributors, announced today that the company’s User Conference, which carries the theme, “Simply Smarter,” was treated to an address by Mick Whitlock, President of Vann’s Spices, a user of SYSPRO ERP software since 2009.

In his speech entitled, “Finding Sanity in the ERP Customer Experience,” Whitlock first disclosed a bit of family “ingenuity” — the fact that his daughter’s blog documenting business waste and seemingly crazy requests made of business assistants, has turned into a book, “To My Assistant,” and is being published by Random House. Additionally, he stated proudly, Fox TV has purchased the rights to the book and will commence shooting a TV pilot.

Whitlock noted that Vann’s Spices, based in Baltimore, Maryland, is exemplary of the “American Dream.” The company, he said, started in the kitchen of an enthusiastic cook and school teacher and today sells a full line of spices, spice blends, beans, grains, rice and extracts. During the past 32 years, says Whitlock, Vann’s has grown into a major player in the spice trade with about 800 customers – many of them quite large – and mostly located in the US and Canada. The company, he noted, sells through a variety of sales channels – from direct sales to restaurants and food chains to selling a variety of private labels spice lines with customized formulas. He added that recently Vann’s was taken on by a major national grocery chain and between 2011 and 2012 grew revenues by 15% and gross profits by 39%.

Guest Blog: What the Marketplace Fairness Act Could Mean for Your Business

MFAThe Senate recently passed the Marketplace Fairness Act of 2013 [MFA] by a vote of 69 to 27, and the bill now awaits debate in the House. If this bill passes it could dramatically change sales tax requirements for many businesses within 180 days after it becomes law. But, of course, the most important question is what it might mean for your business. It’s important to consider:

1. Can your business handle the change?
2. Does your ERP system handle the change?

This post will unpack the MFA and how it could impact your business’ tax requirements. Additionally, we will give insight into whether you need to do some planning so your current infrastructure can handle the change.

MFA overview:

Today, if your business sells into states where you have no physical presence—like a warehouse, storefront, or sales personnel—you don’t have to collect sales tax in those states. The MFA would change this by allowing states to require out-of-state businesses to collect sales tax, even if they don’t have an in-state physical presence.

In other words, if you’re based in New York and currently sell into California without collecting California sales tax, MFA would give California the right to make you collect sales tax on sales made to its residents.

There are two caveats to the authority MFA would grant to states.

• First, in order to enact MFA, states must meet certain simplification requirements to their tax codes, like providing a centralized sales tax administration for both state and local jurisdictions. Currently 22 states have tax codes that would automatically meet these requirements. Learn more about which states would have the easiest time implementing MFA: http://salestaxchanges.com/#map

• Second, in its current version the bill makes an exception for businesses that gross less than $1 million per calendar year in total U.S. remote sales. Learn more about the small seller exception here.

What it would mean for your business

If the bill passes, you may have to start collecting sales tax in states where you currently don’t collect, provided that you don’t qualify for the small seller exception. For some businesses this will mean a significant increase in the amount of states where they have to collect, file, and remit sales tax.

In addition, the bill would not change any of your current sales tax requirements. If you collect and file Illinois sales tax, you will continue to do that, with our without MFA.

What you can do to get ready:

Most ERP systems have inherent or limited ability to manage complex tax situations. In this case, the real overhead is not only setting up but also the ongoing maintenance of tax tables. So either way, check to see if your ERP system integrates with AvaTax. If it does not, start looking at a system like SYSPRO.

Hidden data vs Big DataSYSPRO ERP software offers users the ability to access “hidden data” as well as “big data.” The ability to access “hidden data” is a must for organizations, such as medical device and food manufacturers, to execute efficient and rapid product recalls, notes SYSPRO USA President Joey Benadretti. “While the utilization of ‘big data’ helps a company identify trends and chart future courses, the importance for numerous companies to have access to ‘hidden data’ cannot be overstated ,” he says. “One of the underlying principles of basing business decisions on ‘big data’ is that the ability to access the volume, variety, and velocity of data tends to compensate for data errors. But,” says Bendaretti, “manufacturers and distributors in a wide variety of industries, such as food, medical devices, automotive, pharmaceutical and others, must be able to connect and correlate relationships, hierarchies and multiple data linkages to facilitate the recall of products that may contain tainted ingredients or faulty parts that could cause harm or even death.
